Balon can provide a full documentation and training system for your operation. This solution centres around a manual, based on risk, that combines all required information into one location including background information, relevant procedures and risk assessments.
The manual is intended to be a “one stop shop” where all information required to complete a task is found in a single location. Information becomes easier to find and document control is streamlined.
The manual can facilitate the progressive movement of your people through various tasks, leading to positions of greater competency and responsibility. Each manual is the foundation for the next, so that a person is guided through a planned development process tailored to the individual’s and organisation’s needs.
Employee Involvement
The way we create each manual is important. Rather than producing them at a distance, we work closely with the people actually performing the tasks. We do this by building relationships with the key people at their place of work, supported by regular telephone contacts and emails. This ensures a great deal of local ownership and buy in to the final result.
The manual consists of the following:
1. Section Outline
This is a list of key points that summarise what is involved in that section of the manual.
2. Operational Requirements
The background information that people need to understand procedures. Companies sometimes put this information into procedures making them long and cumbersome. Separating this information out makes the procedures succinct.
3. Procedures
The procedure lists the steps in the process, the associated hazards and guidance notes to clarify how a task is carried out. This unique format was developed by Balon.
4. Supporting Documentation
The supporting documentation is any form, map, diagram or other material that supports the procedure.
5. Risk Assessment
All Balon documentation is risk based. We work with site personnel to complete risk assessments that identify the hazards associated with a task and the controls used to manage them. Including this information in the manual ensures it is front of mind and regularly updated as part of the manual review process.
